LED Display RFQ Checklist: What to Send for a Quote editorial cover using a supplied product reference

BUYER PLANNING

A BETTER
PROJECT
BRIEF.

An LED display price is easier to compare when suppliers quote against the same brief. Start with the application and site, then ask each proposal to identify the selected model, equipment and project responsibilities. A complete brief can grow from a few initial details.

1. Describe the application and site

State the project country, whether the display is indoors or outdoors, and how it will be used. Include approximate screen dimensions, quantity, viewing distances and target timing. Add site photographs or drawings if available. If you do not know the pixel pitch, describe the audience and viewing conditions instead.

2. Explain installation and operation

Describe the mounting concept, space for maintenance, available power and content sources. For a rental display, add transport and assembly requirements. For glass or shaped displays, include the surface or shape drawing. Identify installation work your local team will handle and the items you want included.

3. Ask what is included in the price

Request a named model, cabinet or module layout, specification sheet and equipment list. Check processing and control equipment, cabling, spare parts, packaging and manuals. Ask the proposal to state installation, freight, import and local works responsibilities so you can compare the complete scope.

4. Confirm the terms before ordering

Review lead time, payment terms, delivery terms, warranty conditions and applicable documentation with the proposed configuration. Resolve differences in quantities and inclusions before comparing totals. Treat product claims as model-specific and ask for supporting documentation where a requirement affects your decision.

A short RFQ you can start with

  • Application and project country
  • Approximate display size, quantity and viewing distance
  • Mounting concept and content sources
  • Target schedule and the equipment or services to include

You do not need every answer to make an enquiry. Send what you already know and mark the open questions so they can be discussed as part of the configuration.
